WalkBoston is hiring a Program Coordinator

WalkBoston seeks a self-motivated, detail-oriented, full-time Program Coordinator with experience in office management, development (fundraising) activities, communication strategies, and event planning. The Program Coordinator would support all staff and play a key role in ensuring that the office functions efficiently and effectively.

WalkBoston, founded in 1990, is a small, nimble statewide pedestrian advocacy organization with the goal of making walking safer and easier for all.

Program Coordinator Responsibilities:

Reporting to the Executive Director, the Program Coordinator will assist in office management, development, communication and event planning activities that support our work. Primary responsibilities include:

  • Office administration and human resource activities
  • Development (fundraising) support, primarily assisting with Salesforce database and donor acknowledgement
  • Communication/Event support

Skills and qualifications:

Minimum 1 to 2 years of office experience

  • Strong communication skills both written and verbal
  • Superior organizational and critical thinking skills
  • Strong knowledge of Office Suite (Word, Excel, PowerPoint) and Google Suite
  • Proficiency with Salesforce
  • Experience with WordPress, event management systems (EventBrite), and email systems (MailChimp, Vertical Response)
  • Experience with Adobe Suite is a plus

Specific tasks:

Office and Program Support (50%)

  • Provide administrative support to Executive Director with meeting scheduling, records management, and personnel time tracking
  • Support Executive Director and Program Staff at off-site workshops, walk audits, and other events
  • Print materials, prepare presentations and take notes for internal and external meetings
  • Maintain office administrative files (electronic and written) including contracts, filings, human resources, and other organization records
  • Process new hire documentation
  • Administer benefits programs (Health Insurance and 403B retirement plan)
  • Support outside accounting staff with bank deposits/check log, contract and invoice administration, and tax filing and audit preparation
  • Manage daily upkeep of office space including communication with the building manager and other outside vendors, and coordination of office setup and cleanup after meetings
  • Track inventory levels of office supplies and printed materials
  • Provide basic IT assistance and work with outside IT vendor to maintain system security, purchase new equipment, and maintain current IT systems
  • Respond to general requests, phone calls, and emails

Development Support (35%)

  • Perform Salesforce data entry including the creating and updating contacts, recording donations, and running basic reports
  • Generate digital and printed donation acknowledgement letters
  • Support Development Manager with other donor stewardship activities

Communications and Event Support (15%)

  • Assist staff with production of e-news, blog posts, social media posts and other regular communication outputs
  • Assist staff with website maintenance, email systems (Vertical Horizon and MailChimp) donation tracking systems (Salesforce and Crowdrise), and event platforms (Eventbrite)
  • Assist with event planning, including WalkMassachusetts Network forums, the Annual Meeting, Walk With Us celebration, and advocacy walks.

This is a full-time, exempt position with an annual salary range of $36,000 to $43,000.
